Director of Enterprise Systems

Department: Information Technology
Location: Mokena, IL

Summary:  Provide system support on all Enterprise (financial reporting) systems within Ozinga Bros. Inc. This will include daily system support and maintenance as needed, performance monitoring, capacity planning, security and backup / recovery. Work with the business units on enhancements to the system and align the application implementation with the functions of each business area.   Have excellent communication between business and technical groups. Document system configuration and maintain all contractual obligations.   Enforce coding, server and hardware standards. Provide support to the rest of the IT team. Work with Infrastructure team to ensure hardware infrastructure can support the needs of the Business.

 

Principal Duties and Responsibilities:

Information Technology Specific Responsibilities:             

  • Provide Design, Implementation and Support of all Enterprise (Financial) Systems. Including, but not limited to: Solomon, FAS, OnBase, BillTrust, and Paylocity.
  • Manage all aspects of projects related to Enterprise Systems.
  • Coordinate support with contracted parties if necessary.
  • Provide third level support when required.
  • Evaluation and recommendation of new products, processes and systems to improve overall operation. – We are in the midst of and ERP selection process. This position will work closely with the Finance team and the rest of the company to select and implement the new system.
  • Work to create, maintain and rollout standards for all systems we install.
  • Work with the team to create documentation for the systems.
  • Keep current with emerging technologies and how they can benefit our environment
  • Coordinate problem resolution with outside vendors
  • Coordinate service contracts with outside vendors
  • Coordinate purchasing, receiving, inventory management, return material authorizations and disposal on equipment.
  • Provide ad-hoc support as required.

Financial Responsibilities:

  • Manage all vendor relations
  • Manage budget creation, analysis and reporting
  • Manage all Salaries of staff within budget guidelines
  • Manage additions and deletions to staff in order to maintain profitability and service delivery

 Customer Satisfaction Responsibilities:

  • Liaison with business unit and technical staff to document requirements and fulfil business needs
  • Provide communication to company whenever there are major issues/outages
  • Required to maintain excellent customer rapport
  • Follow up, on regular intervals, with the business areas to ensure we are providing the support necessary
  • Maintain excellent communication with users, staff and management on deadlines and status
  • Deliver, configure, install and integrate all solutions, to the user’s satisfaction according to the project plan
  • Coordinate plan with key Business Area Managers to ensure successful completion and customer satisfaction
  • Provide project wrap up meetings with business areas to ensure satisfaction and look for opportunities to further enhance the relationship
  • Follow through with business areas to ensure all expectations have been met.
  • Deliver Quality to the users
  • Establish and manage support option for after-hours service

Managerial Responsibilities:

  • Provide direction and leadership for staff and be a mentor for the team
  • Must be able to provide training and assistance to others in support staff when required
  • Required to maintain excellent rapport with all Ozinga employees
  • Follow all Ozinga escalation procedures
  • Required to maintain Ozinga’s Policies & Procedures
  • Standard Hours of Operation are 6:00am to 5:30pm (shifts will be staggered throughout the team and across time zones)
  • Provide status and paperwork to Chief Information Officer
  • Manage all levels of staffing issues; including training, establishing backup, succession planning, resolving employee performance problems, and maintaining good morale and camaraderie
  • This is a new department within IT and you will be responsible for assembling the team to deliver and support the solutions we implement.
  • Work with staff to ensure they have a clear understanding of their goals, objectives and responsibilities
  • Look to identify “Scope Creep” and other time wasters that can adversely affect the outcome of the project
  • Provide reports, at project completion, on total cost of project and determine how well the scope defined the actual finished project
  • Perform employee reviews at least annually
  • Monitor work load of department and make staffing adjustments as business progresses

Time Management Responsibilities:

  • Analysis and management of direct reports time
  • Timely preparation of monthly status reports
  • Utilize time efficiently, maintain costs by reducing overtime whenever possible and avoid “Over Committing”


Qualifications:

Qualified candidates must possess excellent communication skills, problem solving skills, excellent project management skills, be self-motivated, and be a team player. Candidates must have a thorough knowledge of Solomon, Integra, JWS/Apex and all core business applications required for Ozinga’s continued success.   Candidate must have experience interfacing to multiple systems and providing fast, reliable and accurate data handshaking between systems.   Candidate should have an overall understanding of PC software. Must be able to work in a fast-paced environment. Minimum of 5 years Solomon (or similar ERP), Integra and JWS support experience and 10 years of project related management. Knowledge of SQL administration a plus. Prior skills in a similar industry highly desirable. Prior experience as a CPA / Financial Analyst preferred.
