Executive Administrative Assistant

Location: Mokena, IL

The Executive Administrative Assistant will provide direct support to Executive Management in the Mokena office. This role will primarily be responsible for managing a complex appointment and domestic travel schedule, organizing meetings and events, and managing multiple calendars that are heavy in activity. The ideal candidate is highly self-motivated, professional, and capable of managing their work load confidentially and prioritizing tasks in a fast-paced business environment. 

A typical day for this role would include:

  • Fully maintain and manage schedules of multiple executives; correspond professionally
  • Plan, coordinate and schedule domestic travel for business; occasional limited travel may be necessary for position
  • Assist with research and planning for special projects for executive staff
  • Clearly communicate with all levels
  • Create meeting agendas, including conference calls and potential off-site venues
  • Coordinate board meetings, including dinners, conventions, and other miscellaneous events
  • Help plan schedules of visiting/new management during site visits and onboarding
  • Work very closely with other executive assistants and staff across regions

You might be a good fit for this role if:

You are comfortable interacting and communicating with executive level staff and customer base.  You have a High school diploma or Bachelorís/Undergraduate Degree or equivalent (preferred).  You meet a preference of a minimum of two yearsí supervisory experience.  You have a current, valid driverís license.  You possess excellent written and verbal communication skills in addition to effective analytical skills.  You demonstrate knowledge and experience with local, state, and federal compliance regulations.  You are discreet, as position requires the handling of confidential information.  You have a strong sense of urgency to business needs and proactive problem solving abilities.  You possess excellent computer operating skills (general Microsoft Office applications).
