Executive Assistant

Location: Chicago, IL

We are looking for an Executive Assistant to support the Ozinga executives in the Chicago Region.  This role involves conducting research, preparing statistical reports, handling information requests, running errands and performing clerical functions, such as, preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings and service for visiting executives and customers. Additionally, this assistant will manage the atmosphere and office organization and ensure that all required supplies are ordered and well-stocked.  

A typical day for an Executive Assistant in the Chicago Region would look like:

  • Provide administrative support to Chicago Region Executives and extending administrative support to various colleagues and office coworkers when needed
  • Make travel arrangements for executives 
  •  Type reports, memos, letters, and other documents using word relevant computer software 
  • Greet visitors and answer phone calls; direct to the appropriate parties or taking messages 
  • Record, type and distribute meeting minutes 
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution 
  • Open, sort and distribute incoming correspondence, including faxes and email  
  •  Perform general office duties such as ordering supplies and maintaining records management database systems 
  • File and retrieve corporate documents, records, and reports 
  • Order and maintain inventory of the Chicago Region office and break room supplies
  • Coordinate with venders the shipping, travel, and vending options, including rate negotiations and implementation, for package deliveries (inbound & outbound)
  • Perform other duties and errands as assigned
